FINAL EVALUATION
Before the event even started we were facing challenges. Communication between the team was difficult due to members either being ill or away for other reasons. Organising meetings with the DJ was complicated due to the different timetables and not getting their number, times were arranged but not places; therefore the only communication between the team and the DJ was either face to face or through Facebook chat. The group chat that was used was created half way through the planning period but should have been made earlier. In the future, I will ensure that I have the DJ's mobile number so I can connect with them in emergencies. As well as this, I will make sure the group chat is created earlier and confirm the venue for the meetings too. In addition to the complications faced with the DJ it was decided less than a week before the event that a second DJ would be used and a break added in the middle of the night to add in an open mic session. A playlist was also created that split different types of music to different DJs. This added more work in as originally the first DJ had created a playlist that was checked and decided by the team that there were sufficient songs with sufficient genres on it. This also meant messing the first DJ around as they were expecting to have a set for the whole night instead of just half a night.
The posters were created as a group and was a simple design that was
inspired by the 90s, however it didn't explain what the event was. It could
have explained more about the theme of the night. The time put on the
posters was also not the time originally agreed with the venue, this was
not noticed until a few days before the event. Nonetheless, the event did
go ahead with the times written on the posters as this was luckily okay
with Bar 42. These posters were put up around most of the college,
mainly where notice boards are placed within the main entrance space,
as well as in the music main space and classroom corridors as well as in
Bar 42. To get a larger audience the poster should have placed in shop
windows around Worthing Town.
The event was also advertised on a range
of websites including the Bar 42 Facebook page, skiddle.com and a variety of local groups
on Facebook. For future events I will make sure that the poster contains more information
about the event and that the time written on it is the time discussed with the venue
management. Additionally, I will make sure that the event is advertised in the town centre.
Half way through the project I decided to create a photo booth window like clubs use for advertisement. The team thought it was a good idea, in spite of this the window was not created until the day before the event was held. If I were to use this sort of advertisement in the future, I would like to create this a week or so before this so I can correct any errors made, this is because I originally started using the wrong glue and can there see through the top right corner pattern. Thankfully, the image on the other side of the sheet of paper was an image a high top shoe I had considered adding to the frame but for some reason had printed on the same sheet. In future I think I shall test the glue before using it on the final product.
The second DJ dropped out on the day of the event because of illness. Due to this there was a complete re-shuffle as we had not made a contingency plan for an event such as this. The first DJ was sent the songs required for the rest of the evening and their set extended to cover the whole night (like originally planned before the second DJ was added in). Extra songs were also added in by the team when this happened as people had requested them. I had requested that the DJ turn up at 6 o'clock, an hour before the event started. This was to allow us to set up without rushing and make sure everything was alright as well as to sort out any last queries that had come up. However, the DJ actually showed up at 7 o'clock, the time the event was due to start. This had meant that we were panicking for an hour as they had not shown up. The DJ also left ten minutes before the event was due to finish without discussing it with any of the team. Apart from this the mix of music provided was good and was enjoyed by the audience, because of this the original plan for open mic was changed so people could just enjoy the music.
Interaction with the attendees of the evening was an issue, for
quite a lot of the night we remained sitting in the booths talking
to the same people. This also meant not many people used the
photo booth window that was created. However, it was used by
a few people, including the bar staff. I think that if we had
interacted with the people who attended and encouraged them
to use the photo booth window, or had been using it ourselves,
then more people would have been taking photos.
The attendance of the evening was as I had expected due to
the location of the posters, but not as I wished. Most of the
people that attended were from college and had bought their
friends with them. We all had our families come along to support us, as well as some friends. We also had a large range of attendees with people coming from Littlehampton, Haywards Heath and Seaford. We had a few adults attend, some of which were teachers from the college, this was the audience that I was hoping would come along. People seemed to be enjoying themselves as they were interacting with each other, laughing and dancing throughout the evening. Not a lot of people came along in fancy dress or dressed up in the style of the 90s; however, this did not affect the evening. Although the event was supposed to finish at 10 o'clock, the attendees stayed at Bar 42 or continued to hang out outside of the venue as they could not stay in the venue due to not having I.D. For future events I will focus on spreading the age of the attendees and get people that are not just attached to the college.
I feel that event was successful, despite the last minute changes. The bar was busy but not overcrowded and people could still talk to each other without having to shout. I would use Bar 42 for events in the future.
